David Eisen reminded those present about the advising survey questionnaire that was sent in late January to departments and programs across campus (and announced at last month’s meeting). As of now, over forty have been received back; those still needing to return them can do so (send to deisen@uc.utah.edu).

Registrar’s Office – Michael Bard and Carol Uresti

  • Spring census data: 28,589 enrolled (up 4.3%), composed of 21,671 undergraduates (up 4.2%) and 6,918 graduates (up 4.6%).
  • New guidelines have been approved for students who are studying abroad; with petition, they may now take twelve hours out of their last thirty-two.

 

Admissions – Nancy Trevino

  • Summer 2010 application deadline is March 15; Fall 2010 is April 1 (for applications without a late fee).
  • The plan is to send notices in early March to students who have missing transcripts and/or an Admissions hold (to be effective April 1).

Financial Aid – Amy Capps

  • The deadline has passed for Western Undergraduate Exchange and Legacy scholarships. The need-based scholarship deadline is March 15, transfer is April 1. Summer aid applications are due by May 21.
  • There are still Perkins funds available for the current year; advisors are encouraged to refer students.
  • Processing for 2010-11 aid begins in two weeks; numbers are up from last year.
  • FAFSA workshops will be held on February 25 and March 1.

Curriculum Administration and DARS –Ed Barbanell and Richelle Warr

Reminder: program changes (for DARS) are due to Richelle by March 1.

Graduation Guarantee – Libby Oberg

Work is moving forward with the initial colleges and departments; also, the process has started for Humanities and Engineering. Banners will soon appear around campus; Academic Advising Center has electronic flyers available (contact Libby at loberg@uc.utah.edu).

Orientation – Michelle Jones

  • Reservations for summer orientations are “up and running”; fall reservations will be available on March 2.
  • A spring parent and family event will take place soon; information will be on the website (www.sa.utah.edu/orientation).
  • Preview Day is planned for March 6; it should be even bigger than last year’s program.
  • LeaderShape: this year’s version will be a one-day program on April 17, and will focus on ethical leadership.

Freshman Advising Subcommittee – Leslie Park and Victoria Trujillo

  • On February 22, letters will be sent to 325 new freshmen (i.e., starting in Spring 2010); the mandatory advising hold will be in effect on March 1. An e-mail message, reminding advisors about procedures for enabling early registration for these students (for Fall 2010), will go out tomorrow; the early registration period begins on April 14. Advisors are asked to let Leslie know of any anomalies (e.g., a student who should have a hold yet doesn’t) (LPark@uc.utah.edu). A meeting will be held in early March to plan for Fall 2010’s process.
  • The December calling campaign (to unregistered freshmen) reached out to 586 students, of whom 194 were successfully contacted. Of these, approximately 45% had decided not to return for Spring Semester; among the reasons given were military service, leave of absence, and desire to save up some money. Forty-nine percent hadn’t yet registered (but in a review in early February, it was found that 80% of this group did in fact register).

 

Second-Year Advising Program – Martina Stewart

An e-mail message was sent today to students, regarding the need to meet with an advisor by March 1 and the resulting hold if they don’t (this message was also cc’d to the UAAC listserv). Approximately 2,200 e-mails were sent out in the fall, and it’s estimated that about 1,300 of these students have been seen by advisors. Advisors are reminded to be sure to mark the advisor meeting panel when they meet with students.

 

Advisor Education and Development Subcommittee – Vickie Morgan

  • The next Advising Basics Workshop will be on March 23. March 25 will see a roundtable with the subject of veterans and higher education (developmentally focused). There will also be a PeopleSoft for Advisors training on March 31.
  • The Subcommittee is working on ways to welcome new advisors to the campus; send ideas and thoughts to vmorgan@uc.utah.edu.
  • The Subcommittee is looking for new members as well.

New and Continuing Business

Moving to DARS as a Graduation Certification Tool: Ed Barbanell reported that the University is on track to move to DARS as a graduation certification tool for all undergraduates by Spring 2011 and distributed a memo sent to John Francis regarding this (from Ed, Sharon Aiken-Wisniewski, and Tim Ebner), noting highlights. Regarding emphases within departmental majors, it was noted that by Spring 2011, departments need to get them officially approved, or else call them something else. Ed will send out a list of approved emphases.

Reminder: the printed University catalog for 2008-10 was the last one (henceforth online).

Major Exploration Expo: Steve Hadley reported that the next Major Expo will take place on February 16, 2011. The change from fall to spring was decided after taking into account the many other activities in which students and advisors are involved in fall; it will allow students to get better “settled in” and will also facilitate involvement of high school students.

Steve also noted that 197 students received the 60-credit-hour undeclared hold this year (slightly down from last year’s 205). The “Declare Your Major” campaign is now underway (including banners).
