October 21, 2010 UAAC Meeting Minutes

UAAC Meeting Notes from October. Highlights include updates from Study Abroad, DARS/GPS, Orientation, Mandatory Advising Program, Math Prerequisite Checking, Career Services and the International Center. 

Study Abroad - Liz Knight
The Study Abroad office has a new monthly newsletter (new programs, changes in office policies, etc.); a signup sheet for those who wish to receive it was distributed.

Registrar's Office - Michael Bard
Spring 2011 registration begins on November 4 (early registration for freshmen begins November 8).

Admissions - Nancy Trevino
Spring 2011 application deadline is November 1; after that, late applications (with late fee) will still be accepted).  The residency deadline for Spring 2011 is also November 1.

Financial Aid - Jency Brown (for Amy Capps)
Perkins loans are still available on a first-come, first-served basis.

Curriculum Administration - Sharon Aiken-Wisniewski for Ed Barbanell
A subcommittee is currently working on curriculum policy review (e.g., looking at different policies that aren't always in the Regulations Library, but do need to be codified for consistency; and looking at courses that are "on the books" but haven't been taught in many years).

DARS/GPS - Richelle Warr

  • Those departments / programs who haven't yet submitted GPS roadmaps for 2010-11, please do so as soon as possible.

  • The coming months will see a marketing effort for GPS; two Academic Advising Center peer advisors will be playing a major part in this.

  • Notify Richelle of any problems with DARS (reminder:  DARS becomes the official tool for clearing students for graduation starting in Spring 2011)

  • uSelect (transfer portal) is moving forward; more information to come.


Advisor Education and Development - Vickie Morgan

  • Next Advising Basics Workshop, November 2 (RSVP by October 27); next PeopleSoft training, probably mid-November

  • The recent upgrade to PeopleSoft appears to have gone well; a summary of changes was sent out on the listserv

  • Thanks to those who served on the committee for the recent advisors' conference


Orientation - Trisha Jensen and Gwen Fears

  • First transfer program (for Spring 2011), November 16; first freshman program (including advising) is November 17.

  • Advisors should have been informed by their college coordinators that this semester's programs will not have advising included; however, advisors should still block out some time around the orientation dates as students will be trying to make advising appointments (the relevant dates are included in the information from the college coordinators).

  • Preview Day:  previously, Orientation has been in charge of this event in March; this year will bring changes to the program:

  • Orientation has partnered with Student Recruitment and Neighborhood Partners

  • Event will be held four times:  November 20, January 22, March 5, and April 2, with the title of  "Connecting U Day"

  • The events will be for prospective, admitted, and current students; family members are also invited

  • Breakout sessions will be held throughout the day; students will be encouraged to follow a specific track.

  • There will be information about scholarships, choosing a major, etc.

  • Students will RSVP through the Student Recruitment website

  • Changes to orientation programs:  in the past, Orientation has offered several types of programs for first-year students, leading up to Fall Semester (one-day and overnight; outdoor, online, etc.).   Outdoor and overnight programs will continue, but the (formerly) one-day orientations will now expend to two-day programs.  Students should be strongly encouraged to do an in-person (rather than online) program if possible, and not to wait for the August programs.  There will also be an increased number of transfer programs offered (with the goal of having fewer students at each one); for Fall Semester, one will be offered about every ten days.


Transfer Student Issues - no report

Housing and Residential Education - Angie Shewan

  • On-campus housing applications for Spring 2011 are now being accepted.

  • Applications are being accepted for student leaders, until January 21 (about 70 of them are employed)


Mandatory Advising Program / Major Exploration Program -- Martina Stewart

  • As of Wednesday, about 40% of the freshman population has been advised.

  • Martina will send a reminder e-mail to advisors, at the point at which they should no longer be enabling priority registration.

  • New this year -- freshmen who have received priority registration will be sent an e-mail before November 8, reminding them to register as soon as possible after 7:00am on that date.

  • Mathematics and Continuing Education have provided Academic Advising Center with lists of those students requiring an "Early Warning" notation in PeopleSoft (e.g., C- or lower in Math course).

  • There will be no December calling campaign (to unregistered freshmen) this year.

  • Second-year advising:  the students have been selected and received an e-mail telling them of the need to meet with an advisor by March 1 in order to avoid a registration hold.  Total:  about 2,400 (more than in the past two years).  Advisors are reminded of the importance of marking the advisor meeting panel with the second-year meeting.

  • Major Exploration Program (as previously announced) is being developed by Academic Advising Center.  This effort will combine a number of different programs and activities that have existed for a number of years (e.g., Major Expo, Strong Interest Inventory and MBTI administration), under a branded name.  Image creation and website enhancement is now underway.

  • Academic Advising Center is talking with Career Services about whether it might beneficial to students to create a center that would merge major and career exploration.

 

NEW AND CONTINUING BUSINESS


QA Courses and Math Prerequisite Check: Kelly MacArthur distributed and went over the following information sheets:

Tutoring:  the Department of Mathematics tutoring lab is open many hours, with no out-of-pocket costs to University students in MATH 990 - 3160 courses (as well as 4010 and 4020).  A glitch that provided some MATH 990 students from being able to access lab services is now being addressed.Course evaluations are public information-students should be encouraged to utilize this information in choosing their course sections, rather than (for example) merely picking whichever section seems to fit best into their schedule.  Students can also sign up for one section and then attend more than one during the first week, before making a final selection.Prerequisite enforcement reminder:  Do not tell students to call or e-mail Kelly, or the Department, for their permission code.


Career Services Updates:  Pat Reilly noted that many free workshops are upcoming (e.g., interviewing, resume skills, networking); most require that students register through UCareerLink (students should be encouraged to set up their profile there).  Employer visits are also slated.  Half-session career planning classes (one credit hour, graded CR/NC) will be offered in spring 2011 - one for Humanities majors and one for any students (information distributed).

International Center Overview:  Jacqueline Fogel and Chalimar Swain presented an overview of their office's mission and focus areas (information distributed).  The percentage of international students on campus has been increasing.  Changes to the international orientation program are being contemplated (e.g., some type of hybrid of online and in-person program).

A needs assessment survey was distributed to those present.

Information Dissemination:  Stephanie Ritrievi (on behalf of Laurie Bragg) noted that several School of Business events are open to students across campus; what is the best way to publicize them?   (There has been a concern in the past about opening the UAAC listserv to announcements of events, which if used by many departments and programs, could become overwhelming to recipients.)  After discussion, it was decided that departments who wish to publicize activities or make announcements campuswide should forward them to Jency or Stephanie, who will put them on the listserv if deemed appropriate; this undertaking (including the volume of information) will then be evaluated later this year.

Reminder:  applications for the Ambassador Program scholarships are due October 22.
