April 21, 2011 UAAC Meeting Minutes

A brochure on the Innovation Scholar Program (from the University’s Technology Venture Development office) was distributed.  This will be discussed further at next month’s meeting.  

Presentation

Carrie Beckman, Policy and Special Project Manager for the Board of Regents, gave a presentation on the Regents’ Scholarship.  (The University has scheduled a special orientation, on May 20-21, for these students; this is necessitated by the fact that they must provide proof of college enrollment by a specific date.  They will still be encouraged to attend a regularly scheduled overnight program; but if they can’t, the special dates are available to them.)

Highlights:

  • Established by the Legislature, 2008
  • Based on nationally recognized foundational core designed to help prepare students for college, beyond high school graduation requirements
  • Three awards – base, Exemplary Academic Achievement, Utah Educational Savings Plan supplemental; students can qualify for a combination
  • Review process, with specific documents that must be submitted
  • Scholarships must be used for attendance at a Utah institution
  • Final application deadline is July 1, firm (no late applications accepted).

 

Registrar’s Office – Michael Bard, Emily Johnson

  • Important dates / deadlines:
    • 4/22 – last day to revoke Credit / No-Credit option
    • 4/27 – last day of classes
    • 5/16 – first day of Summer Term
    • 5/25 – course drop (delete) deadline
  • Enrollments as of now:
    • Summer = 10/835, down .5% from last year
    • Fall = 9,417, up 8.5% from last year
  • Reminders:  as the semester comes to a close, advisors should be sure to look at their graduating students and ensure that their DARS reports are OK.  Graduation lists are no longer being sent to departments; there is an online tool that can be used to access this information (contact Emily Johnson for more information if needed). The DARS exceptions entry deadline is May 18.
  • The new registration system has been rolled out for summer and fall.
  • Academic Advising Center has heard that students attempting to register for a repeated course are sometimes confused by the message that appears.
  • Students who invoke the CR/NC option receive a message about how these grades may be interpreted by other institutions and programs.
  • The class schedule search feature is not working for some students; the Registrar’s Office is investigating.
  • The new system will not allow a student to register for two courses whose meeting times overlap.

 

Admissions – Janet Muncey, Nancy Trevino

  • Summer 2011 deadline has passed; no further applications are being accepted, other than for graduate students.  Students still wanting summer admission must petition, with a valid reason for the exception (and use the paper application).
  • Fall 2011:  applications must be complete by July 15.  Currently, a $75 late fee.
  • State articulation and Getting Ready Guides were due back to Janet on April 19; she is still accepting them.

 

Financial Aid – no report

 

Curriculum Administration – Ed Barbanell, Lyndi Duff

  • Chase Airmet and Tyson England presented their work on, and sample designs for, the unified calendar. Examples of how the calendar might work, and individual customization options, were presented.  Thanks to those who gave their feedback in the design process.  A calendar design survey was distributed at the meeting.
  • Lyndi has been updating the website, including a master list of degrees offered at the University.
  • This summer, Curriculum Administration will be working with staff in University departments on improved management of their courses (e.g., how to handle inactive course numbers; clarifying “meets with” and “cross-listed” terminology).  New course forms are in effect as of now.  A listserv to be used for updates to colleges is also being constructed.

 

DARS/GPS – Richelle Warr 

  • Thanks to everyone for their hard work on DARS and exceptions.  GPS roadmaps are due tomorrow.

 

Advisor Education and Development – Vickie Morgan

  • Advisor social, May 10 (information distributed).  Nevon Bruschke, of Art and Art History, is this year’s Perlman Award recipient and will be honored at the Social.  When sending RSVP, please include your own “art of advising” story (in keeping with the Social’s theme).
  • Advising Basics Workshop and PeopleSoft training were held recently, attended by some new advisors on campus.

 

Orientation – Trisha Jensen

  • The last of the summer programs, as well as fall programs, are going on now.
  • It’s been noted that some students who shouldn’t be receiving registration dates in CIS are seeing them; Orientation is working on this with the Registrar’s Office.
  • Reminder:  when clearing the advising holds of new transfer students, make sure that your name is showing, click the date, and save.

 

Transfer Student Issues – no report

 

Housing and Residential Education – Scott Jensen

  • A waitlist has been started for all students (over one hundred have already been moved from the list).  Students are still encouraged to apply, as there is a good chance of getting in.
  • June 1 is the last day to cancel without any type of penalty.

 

Mandatory Advising Program – Martina Stewart

  • Freshmen – the regular registration date has passed.  If advisors are still seeing freshmen, there’s no longer any need to give them priority, but do be sure to clear the advising hold.
  • Second-year students have a hold in PeopleSoft as well; be sure to remove the hold and mark the panel.
  • Undeclared students – there are a few that still have holds.
  • Under discussion is some type of unified panel (in PeopleSoft) that will combine and facilitate the various steps that advisors need to complete (enabling priority, clearing holds, etc.); this should help prevent “missed” steps.  Hopefully this will be ready by fall.  Thanks go to those advisors who have given feedback about how to improve efficiency within the Mandatory Advising Program.

 

New and Continuing Business 


Career Planning and Internship Courses:  heretofore, Career Services’ internships have been placed under the course number ED PS 3960 (along with other courses); now under ED PS 3861. Successful Career Planning courses for all majors (ED PS) are now under ED PS 3860 (information distributed).  Humanities will have a dedicated section in fall under HUM 3960.  In spring, there will be a course geared specifically to seniors, on implementing the job search.

The award reception for “You Work, You Win” is scheduled for April 27; it would be nice to have some advisors there.  Watch for an e-mail, or contact Pat at preilly@sa.utah.edu .

Fall Math Boot Camps:  Janet Goff distributed information on these one-week, noncredit review workshops (MATH 10 and 15).

Major Exploration Expo:  Steve Hadley thanked those who participated in the recent filming for the virtual expo, which is now in the editing process.  It’s hoped to have them finished by early June.  A premiere social is scheduled for July 7 in the Marriott Library Gould Auditorium.

Based on feedback (from both students and staff/faculty participants) from this year’s (physical) expo – as well as that received at last month’s meeting – the decision has been made to move the expo back to fall.  The next one is scheduled for September 28, 2011.  An online RSVP (for invitations) is under development.

Utah Advising and Orientation Association conference:  the scholarship deadline (for first-time attendees or presenters) is tomorrow.  Hotel rooms are going fast; deadline to get the discounted rate is May 2.

Student Appointments with Business Advisors:  Jason Barkemeyer noted that the School of Business has heard that some business students have been visiting other advising offices, telling them that they (students) are unable to get an appointment with the Business Advising Center.  Business is not turning people away; some students who attended an orientation with business advising may be confused over this.

UAAC Meetings:  Jency Brown announced that June’s UAAC meeting will be moved from June 16 to June 23.  (As usual, there will be no meeting in July.)  As of now, the August meeting is scheduled for August 18 (the week before the start of classes), but this may change.

International Student Advising Event:  Sharon Aiken-Wisniewski invited everyone to a special program on advising international student populations, on June 8, 8am to 11am.  A full breakfast will be included.  The program topics will include presentations from ESL, Global Pathways, Study Abroad, and several others.  Materials created especially for advisors will be distributed.  This event is seen as a kickoff to a series of programs that will be offered throughout the academic year.  Information will be coming soon via the UAAC listserv.
