  • Unified Calendar Presentation- Lyndi Duff & Katie Sexton

 

The link to the Unified calendar can be found on the UGS website in faculty link section or http://ugs.utah.edu/ucal/index.php. The link will also be sent out on the UAAC listserv. All must request viewer access currently Lyndi and the team are trying to expedite that process. This calendar can be downloaded into Outlook, but no other calendars at this point. Information that is updated on the Unified calendar will be automatically updated on your Outlook calendar.

 

The only ones finished at this point are the Unified calendar, Advising and Course set up calendars. They hope to have all the dates on the calendar by the end of the month.

Ongoing Reports

 

  • Admissions- (Janet Muncey and Maren Lythgoe)

 

Deadlines:

  • April 1- holds go on for students missing admissions credentials
  • April 9- articulations due back to the office

 

New process for the upcoming academic year:  

  • Associate Deans will select one contact person for articulation. Deans have already been contacted.

 

Announcements:

  • All freshman applications are processed up to date at this point. Transfer applications are taking 4-6 weeks to process. April 1- holds go on for missing credentials.

 

  • Registrars (Emily Johnson)

 

Deadlines:

  • March 19- summer registration begins
  • March 30- last day to withdraw from second session courses
  • April 9- fall registration opens
  • May 16- last day to enter DAR exceptions for spring semester
  • Last day of spring courses- last day to petition for spring 2012 graduation

 

Announcements:

  • Regarding 2012 graduation, the preliminary process is done. 3,064 graduation candidates have applied for this spring- the most ever! 748 have some sort of deficiency. Over 500 have major specific deficiencies. One email was sent out to these students and no other emails will go out to remind students about this. Students now have to complete a petition to graduate in spring 2012, pay a $25 late fee, and bring in a DAR.
  • Next month, Emily is going to demo a new report for the graduation clearance process; she encourages all to attend to view this at the next UAAC meeting.

 

  • Financial aid- (Amy Capps)

 

Deadlines:

  • Today- need based scholarship deadline. Awards will be sent out in April.
  • April 1- deadline for transfer scholarships
  • Spring appeal deadline for financial aid is today
  • Summer applications for financial aid are currently being processed
  • Next Week- Holds going on for students who have reached the maximum number of credits and will need letters from their advisors to petition to get further aid.

 

Announcements:

  • All diversity and merit scholarships have been sent to incoming freshman. Denials will go out in the next few days.

 

Upcoming changes for the 2012-2013 academic year:

 

1-      Loan program- students have been notified

2-      Graduate students no longer eligible for subsidized loans.

3-      Undergrad students receiving subsidized will have double the interest rates

4-      Pell grants- capping how long an undergraduate degree seeking student can receive this. 12 semesters is the max number of semesters now and is cumulative (for transfer students). The grants are prorated, so that if students only attend part time, that counts as a half semester. These students could still qualify for a loan, but will not receive grants any longer. The financial aid office just received a report about this and is waiting for another report that will impact students for the fall 2012 semester.

 

  • Curriculum administration- (Lyndi Duff)

 

Announcements:

  • There will be a curriculum meeting next week with all Deans of colleges to determine next year’s action items.
  • Some department’s course description pages have changed. These are being updated constantly. The new view is the most accurate. The Catalog.utah.edu website will still show all course descriptions. If you notice any components are wrong Lyndi can assist with updating for any semester after fall 2012. Changes for fall 2012 have already been submitted and no further changes can be made.

 

  • DARS & GPS- (Richelle Warr)

 

Announcements:

  • Mar 28 is the next DARS training, 2-5pm.
  • GPS has 5,167 plans, 4061 unique plans have been created. In the fall, more information will be forthcoming with respect to GPs having a prerequisite checking feature.

 

  • Advisor Ed & Dev- (Vickie Morgan)

 

Upcoming events:

  • Next PeopleSoft training is April 4th in the afternoon.
  • Advising basics is scheduled for next Tuesday but might be cancelled if attendance is low; this might be rescheduled for April.
  • May 9 from 1-3pm is the annual Advisor Social (80’s theme!)
  • 2 Roundtables in April- both about FERPA. Both will be about unique topics and all are encouraged to attend both (April 3 and 18).

 

  • Orientation- (Mark Pontious for Trisha Jensen)

 

Announcements:

  • currently accepting reservations for summer and fall orientations. Discourage from doing the online application.
  • Leadership development- encourage students to attend the Leadershape Institute. (leadershape.utah.edu). Some students can work with their department to subsidize the cost of attendance for the event.

 

  • Transfer student issues- (Terese Pratt)

 

Announcements:

  • SLCC updates- general education requirements are changing. Doing away with CIS 1020 requirement; it will not be replaced with any other course. These changes start in the fall 2012 semester.

 

  • Housing & Residential education (Jason Barkemeyer for Scott Jensen)-

 

Announcements:

  • Reservations for next year start March 19th

 

Committee Reports

 

  • Mandatory Advising Program (MAP)- (Martina Stewart)

Should be seeing mostly undeclared students at this point and 2nd year students. For first semester freshman (started this spring), advisors will be able to give priority registration for fall 2012 semester soon.

 

  • Major expo, Live & Virtual- (Steve Hadley)- no report

 

New and continuing business

 

  • History 3910- (Professor Ron Smelser & Karleton Munn)

 

Professor Smelser discussed his seminar/workshop about the Holocaust. Students can earn 1 credit of upper division credit and the course will be held on April 11 from 12:55-5pm. Students then need to turn in a paper a few weeks later. Students can register through April 10. Part of the tuition from the course goes in part to pay for the guest speaker.

 

  • Math boot camps- (Janet Goff)

She handed out information about the math bootcamps for the 12-13 academic year. Spring courses will be Jan. 2- 5 and the class meeting times will be longer to make up for the Monday that will be missed.

 

  • Math placement information- (Vickie Morgan for Kelly MacArthur)

Handed out fliers about math placement. Feel free to hand out to students during orientation.

 

  • UAAC chair open for 2012-2013 – (Jason Barkemeyer)

1 open co chair spot will be open for the upcoming year. Nominations can be sent to Jason or Jency.

 

Advising tip of the month

  • UAAC outstanding advisor award- still looking, nominate before April 1
    • Award consists of $200 stipend and recognition
    • Nominate at https://www.utah.edu/uaac/

A discussion about advisors experiences with online scheduling systems- CSBS & UIT

                Goals are to:

1-      Work towards best practices in advising scheduling

2-      Determine if there is a consensus on a best system for campus-wide use
