Admissions – Maren Lythgoe

(Summary below is provided by Maren)

First round of freshman acceptance letters went out by January 7

  • 5,394 admitted (up 606 from last year at that date)
  • If you can see that the student is admitted in PeopleSoft, then it’s okay to tell the student.
  • All new domestic freshmen for Fall 2013 must pay a deposit. We will send communication to all admitted students when the deposit website is up and ready, mid-February.

Next freshman deadline is February 15. Notification date is March 1.

274 denied (up 129)  New appeal process – for all undergrads

  • The denial letter will lead the applicant to our appeal website.  This is a hidden site, but the URL is https://admissions.utah.edu/appeals/  
  • The denial letter also gave a deadline.
    • For freshmen who were notified January 7, the deadline is February 1
    • Because transfer students are still processed on a rolling basis, they will have two set deadlines: April 1 and June 1. Also will be specified in their letter.
  • The applicant must complete an Appeal of Denial Form and submit two letter of recommendation forms.
    • The appeal form lets the applicant select up to three departments for sponsorship consideration
  • The list of departments on our website are those that have sponsored people in the past. If you would like your department added, please let me know who the contact person is and their email. An individual person can no longer sponsor a student.
    • The departments will be sent the applicant information through NOLIJ
    • Departments make a recommendation
  • The Office of Admissions and/or Credits and Admissions Committee will make the final admission decision
  • All those admitted through the appeal process will be considered the 5% group
  • Training Monday, January 28, either from 9-10:30 or 3-4:30, both are in 380 SSB. Those that we have listed as 5% departments will get an invite soon.

New Deferral Process

  • Website is http://admissions.utah.edu/deferment/ , or you can find the link on the Undergraduate Admissions page
  • Will be available when the deposit is available. All undergraduates can defer, but if they do, they must pay the deposit, even if not freshmen.
  • Must be admitted for Fall 2013 or after
  • Can take up to seven semesters off, including summer
  • Must apply for a deferral and be approved by the Office of Admissions
  • Deadline to apply for a deferral is May 1
  • We have made it clear that it’s a deferral for admission to the University, not a specific major
  • Honors College will honor the deferral
  • International students are not eligible because of visa restrictions

Registrar’s Office – Dallin Cowles and Emily Johnson

  • As of this morning, enrollment is 31,187
  • Important dates/deadlines:
  • January 22 – deadline to add, elect CR/NC, or audit semester-length or first-half courses; tuition due. (Note that audits require that the student contact the Registrar’s Office during business hours, in person or by phone.)
  • February 1 – last day to withdraw from first-half courses
  • February 22 – last day to reverse CR/NC option for first-half courses
    • Clearance for fall graduation candidates has essentially been completed (including graduate students). It’s been noted that some exceptions have been entered late (with the result of students calling to ask why their degree hasn’t been awarded); please inform the Registrar’s Office if you are entering a late exception (as well as the reason).
    • Renewal applications for spring candidates are being sent out tomorrow.
    • Deadline for summer graduation application is February 1; the total applications to this point are well below what would usually be expected. Please remind students who plan summer graduation to visit the Registrar’s Office as soon as possible.
    • Students must graduate by Summer 2013 in order to not have to (necessarily) complete the International Requirement.

Financial Aid –no report

Curriculum Administration – Lyndi Duff

  • Deadline for Summer and Fall 2013 changes is January 25 (includes any 2013-14 changes to DARS -- which Lyndi forwards to Richelle Warr—and prerequisite checking, which should be sent to Roz Jensen).
  • An easy way to stay on top of many deadline and other important dates, is to access the University-wide unified calendar (https://sa-ucal.ad.utah.edu/sites/ucal/default.aspx). A link to it may be found at www.curriculum.utah.edu.
  • The University catalog product purchase has been pushed to Fall 2014 (should be in place before class schedule for that semester is published); more information will come later.

DARS/GPS – Richelle Warr

  • All DARS reports currently on the system will be purged on February 1.
  • Next DARS training (also covering GPS) is on January 23; this is a good opportunity for refreshing knowledge about DARS, as well as learning how to use GPS in your department. RSVP to Richelle by January 22 (rwarr@uc.utah.edu).

Advisor Education and Development – Vickie Morgan

  • Advising Basics training took place this past Tuesday, and PeopleSoft training is scheduled for January 30.
  • Upcoming events for continuing advisors:
  • January 31 -- RevolUtion roundtable. RevolUtion is a group of students that gathers and roll-plays situations that students can encounter on campus. Advisors can discuss their role in creating a safe and supportive environment for students.
  • October 6 – 9 -- NACADA (National Academic Advising Association) will hold its annual (national) conference in Salt Lake City. This is an excellent opportunity for professional development and interaction with professional peers, “close to home”. A series of NACADA preparation workshops has been planned (handout distributed), with the first occurring on January 24. Those who attend two or more of these sessions will be entered in a drawing for a registration to the Conference.

Orientation – Trisha Jensen

  • The Campus Life Mentor Program at the University serves new students in their first year on campus. The goal of the program is to connect newly admitted students with sophomore, junior, and senior students who have demonstrated success in college.  Applications are now being accepted for the 2013-2014 school year (due by February 6). Information will be sent out over the UAAC listserv.

Transfer Student Issues – no report

Mandatory Advising Program – Martina Stewart

  • Important dates:
  • January 22 – e-mail will be sent to 2nd-year students who haven’t yet met with an advisor (associated holds will become active on March 1)
  • February 4 – e-mail will be sent to undeclared students with 60 or more credit hours
  • February 27 – an advisor roundtable to follow up on this year’s MAP kickoff theme, “Advising as Teaching”

New and Continuing Business

Subcommittees / Task Force: Sharon Aiken-Wisniewski reviewed the membership rosters of each of the three standing UAAC subcommittees, and the chair(s) of each noted the first meeting and/or progress to date:

  • Advisor awards (Martina Stewart): the subcommittee has already met once, and discussed plans for this academic year in terms of campus-based awards, and also looking more broadly (e.g., NACADA awards). A timeline for the UAAC advising award will be established. The next meeting is scheduled for February 1.
  • Marketing and PR (Taunya Dressler, co-chair): first meeting to be held tomorrow (January 18) at 1:00pm in 413 Student Services Building.
  • Advisor Position (Gina Shipley and Vickie Morgan): first meeting to be held January 30 at 2:45pm.

Each month’s UAAC meeting agenda will include reports/updates from the three subcommittees.

Graduation Application Task Force: thus far, there doesn’t appear to be sufficient interest in membership. Therefore, the task force will not be formed unless additional interested parties notify Sharon by 5:00pm tomorrow (saiken@uc.utah.edu).

Clery Act: Lori McDonald spoke about the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, and reminded those present of their responsibilities in relation to reporting criminal incidents. (A copy of her handout will be sent out via the UAAC listserv.) Advisors who are made aware of a crime on campus should report it to the Dean of Students’ office, or the University Police.

Information was also distributed regarding the addressing of sexual misconduct issues involving students. University employees are required to report potentially sexually harassing conduct, even if the individual involved does not wish to take any action. (This will also be sent out via the listserv.)

Declare Your Major Campaign: Steve Hadley noted the annual campaign will be conducted in conjunction with the Mandatory Advising Program. There will be various advertising channels (e.g., banners, flyers) aimed at encouraging students to declare their intended majors (and reminding them of the advantages of doing so). There are many students currently in premajor status (including some who may be well into completion of major requirements).

Sharon Aiken-Wisniewski noted that the parts of the University’s Regulations Library (formerly Policy and Procedures Manual) relating to Academic Advising Center, are currently under review. Currently, it is stated there that students need to have declared their major by the end of their sophomore year (or, for transfer students, by the end of their first year at the University). Over the next year, Academic Advising Center will be looking at various ways to help students to move from premajor to major status.

Writing 2010 and 2011: Liz Taylor announced that the Writing Program has created a new course (2011), effective Spring 2013, that fulfills the University’s lower-division writing requirement; it is intended specifically for students involved in LEAP. The prerequisites are the same as for 2010. The purpose is to enable LEAP students to have a cohort experience in their Writing course (much as they do in their LEAP courses).

Study Abroad in Israel: Maeera Shreiber, of the University’s Department of English, announced (and distributed information about) a study abroad opportunity at Kibbutz Lotan in Israel, April-May 2013. Students will also visit Jerusalem and Tel Aviv. The focus is on peace and conflict resolution. Students can earn 3 credits in COMM 5150. Application deadline is February 8.

Honor Societies: Sharon Aiken-Wisniewski noted that the Alumni Beehive Honor Society is now taking applications (information was sent yesterday via the listserv). Phi Kappa Phi invitation letters have also gone out. Members can apply for funding for graduate school and special projects.

Advising Tip of the Month

Scholarship and financial aid deadlines are approaching. Online scholarship database: www.financialaid.utah.edu/scholarships/search.

NACADA Annual Conference -- Proposals

The deadline for submitting proposals is February 25. Advisors should seriously consider a submission and/or the possibility of conducting a preconference session (there are generally 20-30 of them). Last year’s conference agenda (available online at www.ksu.edu/nacada) is a good source of information about typical topic areas. Proposal readers are also needed; if interested, notify Sharon Aiken-Wisniewski (saiken@uc.utah.edu).
