Presentations

  • Lori McDonald – Dean of Students Office
  • The Dean of Student’s Office is receiving calls from faculty and staff regarding what resources the university has available for homeless students. At this time, the university does not have any programs/centers available for this population of students. Lori requested that you please refer them to off-campus resources instead. She will be sending out a list of these resources via email.
  • Shalome Orton – Childcare Coordinating Office
    • The childcare coordinating office (801-585-5897) is an advocate to help students and faculty access quality child care. There are eight different centers on or near the university campus to serve students, faculty, or staff. Financial help is available for those centers and others off campus centers that are accredited. Call Shalome Orton (sorton@sa.utah.edu) for any questions or to refer anyone to her office. Pamphlets and posters are available, if desired.

 

Ongoing Reports – Brief Updates

  • Admissions - Brad Merrill and Rachana Patel
    • Transfer articulation updates and the famous “GETTING READY GUIDES” will be sent out Monday, April 7th and are due back on Friday, April 25th. These are key tools as transfer students consider the U of U for transfer. So your timely assistance is greatly appreciated.
    • Holds will go live on Tuesday, April 1st for conditional admitted (students above 30 credit hours) and for missing credentials for spring 2014 students.
    • April 15th – Summer applications will be turned off. Non-matriculated and readmit students can still apply via the online PDF application until Friday, May 9th. (The Friday before classes begin for the summer term)
    • Deferment – students must be done with this process by the first day of class.
    • April 15th is the deadline for applications for summer 2014 with an understanding that some materials such as transcripts will filter in over the next week or so.
    • Enrollment deposit is due by May 1st, but that is flexible until May 8th.
      • If a student has extenuating circumstances or cannot pay, please refer them to admissions for an extension.
  • Registrar’s Office – Dallin Cowles & Emily Johnson & Michael Santarosa
    • Registration for summer begins Monday, March 24th.
    • Classes begin Monday, May 12th for summer 2014.
    • For fall 2014 – students can build shopping carts now and registration begins Monday, April 14th.
    • The first session of the registration summit took place on Wednesday, March 19th. There will be another session on Tuesday, March 25th and it is open for registration at Registrar.utah.edu. It will be held from 9:00 am – noon in the Union Building – Pano East. If you cannot attend any sessions, information will be posted on their website.
    • Commencement information is also posted on the Registrar’s website. Thursday, May 1st will be the Commencement ceremony beginning at 6:30 pm in the Huntsman Center with the majority of convocation ceremonies being held on Friday, May 2nd. (Check the website for specifics)
    • Deadlines – Spring 2014:
      • Friday, March 28 – Last day to withdraw from 2nd half semester classes.
      • Friday, April 18 – Last day to reverse credit/no credit option for classes.
      • Wednesday, April 23 – Classes end.
      • April 24 – 30 – Finals.
  • Financial Aid - Amy Capps
    • Holds were placed on students’ records with “maximum credits allowed” last week.
    • They are currently processing applications for the 2014-15 school year. Notifications were sent out to students if any information was missing on their application. Priority on-time filing dates deadline is April 1st and award letters will go out to students in mid-April.
    • They are still taking applications for summer 2014 until May 30th.
  • Scholarship Office – Shawn Hancock
    • The Financial Aid and Scholarships Office are splitting into two different offices. They are hoping to centralize scholarship information into one office. For now, please contact the main financial aid line until you hear otherwise. (801-581-6211)
    • The new scholarship office will be in training next month for outreach to the campus community on this change. More information will be forthcoming.
    • There are plans to update the website, possibly within the next few months.
    • Merit scholarships have all gone out to incoming freshmen. Over 3,000 scholarships were offered, this is much more than in the past.
    • Transfer student scholarships will go out next month.
    • Any scholarship that covers full tuition is eligible for an extension for the admission deposit, but the scholarship must be accepted.
  • Curriculum Administration - Lyndi Duff
    • The catalog is up on catalog.utah.edu. They are still making edits but all will be fixed this weekend. If you have any questions, please contact Lyndi Duff at curriculum.utah.edu. The mobile app is also up and running.
  • DARS & GPS - Richelle Warr & Shelley Nicholson
    • No updates.
  • Advisor Education & Development – Steve Hadley
    • Thanks for all who attended the UAAC conference!
    • Thursday, April 3, from 12-1:30 pm in Pano East, will be the engagement meeting “Creating a Global U” sponsored by UAAC, UC, and the Internationalization and the Office of Global Engagement. We will be talking about the Asia (formerly known as Songdo) campus. Steve will be sending out a reminder to RSVP by next Tuesday.
    • Tuesday, April 8 is PeopleSoft, DARS, GPS training.
    • Thursday, April 10 will be the campus wide inservice from 9-9:50 am in the Sill Center. The Financial Aid Office will be presenting.
    • Thursday, May 15 is another campus wide inservice from 8:30 -10:30 am - – LEAP, honors, Block U, Ed Psych 2600 will present that day.
    • UAA Conference is Thursday and Friday, May 29-30 in Ogden. Scholarship deadlines are Friday, March 21, 2014. The scholarships are available for new attendees or presenters. UAA advisor of the year award nominations are also due March 21, 2014. Eligible advisors must have 3 years or more employment in their position. Those nominated will be notified to compile and send in a portfolio by Friday, May 2nd for review. For more information go to www.utah.advising.org.
  • Orientation – Trisha Jensen
    • Registration for summer and fall students is open and online. They will need to pay the application deposit before they can register for orientation. Approximately 300 first year students that have signed up so far.
    • Saturday, April 5th is Red, White and U day.
    • Monday, April 7th is the first summer orientation and is open to summer and fall transfer students. This orientation is scheduled before registration for fall 2014 begins. The orientation office will send out information about specifics on how they will organize this element of registering for two terms when one term is not open to any continuing students.
    • Orientation transfer holds:
      • First year and transfer students will have their hold released by the Orientation office the 2nd day of orientation
      • If there are any issues for students with orientation – send them to the orientation office.

Committee Reports

  • Mandatory Advising Program (MAP) Sharon or Shari for Martina Stewart
    • First semester MAP for Spring 2014 have been notified to meet with an advisor. If they meet with an advisor before April 15th, they can register as early as April 16th.
    • For a 2nd year map appointment, please remember to mark advisor meeting panel and release the hold. Numerous communication has gone out to students.
    • For the undeclared hold – please remember to remove their hold during your advising appointment.
  • Advisor Awards (Perlman, Staff Awards, UAAC, and NACADA) – Angie Gardiner
    • Nominations for Outstanding Advisor Award and Outstanding New Advisor Awards have been submitted. We have received 22 complete nominations. The reviewing committee will meet the end of March and winners will be announced in May.
  • Marketing & PR for Advising - Taunya Dressler
    • Sharon and Taunya have organized a focus group for students on Friday, April 4th   to share their ideas on academic advising. We need 10-12 students. Please refer students who will participate and be reliable.
    • A tag line and mission statement will be rolled out in the April UAAC Committee meeting with some suggestions on how to brand advising at the U of U with these items.
    • The new tagline and mission will appear in the 2014-15 Undergraduate Bulletin and they currently are located on the UAAC website (https://advising.utah.edu/uaac/) They are:
      • Tagline - Academic Advising: Create, navigate, graduate
      • Mission - As educators and problem solvers, we advocate for students as they navigate their personal journey of higher education and attain their academic goals. Through inclusion and connection, we open doors to new opportunities for self-awareness and growth, empowering students to define their roles as citizens within local and global communities.
  • The Advisor Position – Jessica Taverna
    • The committee is looking into creating a central advising “center” but this will be down the road. They are also looking at crafting a proposal to create administrative support positions to support advising assessment and data gathering, training, professional development, hiring, and any hardware, infrastructure tools needed. More information to come.

 

Continuing Business

  • For the EDU 1010 class students will need a background check in order to participate. This check takes time to process so students should not delay in pursuing this. For more information please look at the website at Uite.utah.edu or call 801-581-7158 and pass it along to students.

New Business

  • Marilyn Hoffman – Returning to the U program
  • This program was launched in 2009 as a Presidential initiative. The goal was to bring those students back who were close to graduation and only needed a few credits left for graduation. We have had 265 graduates through program since 2009.
  • Criteria:
    • At least 70 credit hours (some of which need to be from the U)
    • Student is in good standing.
    • Some students may qualify for fee waivers, scholarships and tutoring.
    • Please send them to Academic Advising Center for the RTU program. They can be seen by any UC advisor. Contact Marilyn Hoffman if you have any questions (mhoffman@uc.utah.edu). Thanks to everyone for helping these students!
    • We are also currently receiving RTU scholarship applications for the 2014-15 year. The deadline for this is April 11th. The student must be enrolled in RTU group to qualify.
  • Sharon Aiken-Wisniewski – Other Business items
    • Thursday, April 10thCampus Community Engagement Day which will include a campus wide walk. Sharon will send out information about this as it becomes available.
  • More information about “Plan to Finish” was passed out to UAAC. The website is up and has basic information at this point. Advising is very important to this initiative. We can really help students plan and move forward with their goals in finishing a degree. There are three videos that are being produced to engage students in the idea of planning. The next step is updating the whole campus aware on this initiative. Sharon may be contacting some UAAC members to help get the word out for “Plan to Finish”.

 Advising Tip of the Month

  • The Grad Fair is coming up March 27th -29th of this month. Remind students (and faculty, if they need it) to pre-order their regalia for graduation in May!
