Admissions – Janet Muncey

  • Applications for Summer 2013 are still being accepted only for nonmatriculated students and readmitted students (who have not attended elsewhere since last at the University).
  • Freshman who have applied for Fall 2013 are being admitted on a daily basis.
  • Articulation packets have been sent out, and are due back to Admissions by April 26.


Registrar’s Office – Dallin Cowles and Emily Johnson

  • Registration is currently in process for both Summer and Fall 2013.
  • Deadlines and important dates:
  • April 19 – reversE CR/NC (semester-length and second half)
  • April 24 – Classes end
  • April 25 – Reading Day
  • April 26 through May 2 – final exams
  • May 13 – Spring 2013 grades are due; first day of classes (Summer Term)
  • May 14 – Spring 2013 grades available
    • Commencement (general ceremony) is on May 2, at 6:30pm; most convocations will take place the following day (exception: Social and Behavioral Science graduate students, May 1).
    • The Graduation Office sent almost 700 preliminary deficiency e-mails to students. Currently 3, 134 have applied for spring graduation; the Office will start clearing them on May 3.   The deadline to enter DARS exceptions is May 15.


Financial Aid – Sharon Aiken-Wisniewski for Amy Capps

  • Summer applications are still being processed; deadline is May 31. The first batch of 13-14 award notifications were sent out yesterday; they will continue to be sent weekly. Some funding (e.g., Perkins) has already been exhausted.

Curriculum Administration – Lyndi Duff

  • Reminder: departments that have new degrees or emphases should initially submit these to the Curriculum office (who passes them on to appropriate committees).
  • The deadline for noncredit reporting is June 30.
  • All changes for Summer and Fall should now be up-to-date. Let Lyndi know of any questions, issues, or further changes.

DARS/GPS – Richelle Warr

  • Next DARS/GPS training is May 22, 2pm – 5pm.
  • “I” and “T” grades: heretofore, courses with these grades have not been picked up in any requirement areas on DARS; therefore the student may appear to be deficient in a particular area (when in fact they are on track for completion). A change is being made that will allow these grades to be picked up (this change will be “retroactive” as new DARS reports are run).
  • Concurrent enrollment: The 125% rule mandates that students will be charged the full cost of instruction for courses that exceed the limit (this will be enforced for Fall 2013 enrollees); however, concurrent enrollment courses are not figured in to the total. DARS will now be able to “catch” those courses (anything before the student’s official high school graduation date will be flagged as concurrent enrollment). However, for students with substantial transfer work, there won’t be a high school graduation date; please notify Richelle of examples of such students, so that a solution may be developed. Advisor Education and Development – Vickie Morgan

  • An Advising Basics training that had been tentatively scheduled for May, has now been cancelled. A replacement date will be announced when set.
  • The annual Advisor Recognition Reception and Social will take place on May 7, from 2:00pm to 4:30pm in the Union Building Crimson View room. It will emphasize recognition and accomplishments of advisors across campus. The winner of this year’s Perlman Award, along with the UAAC advising award recipients, will be honored (information distributed).

Orientation – Trisha Jensen

  • The upcoming Summer orientation is on Monday, April 22; online registration will close today.
  • The first Fall transfer program is on April 26.
  • Gina Shipley won the faculty/staff mentor of the year award (U of U Student Leadership Awards).

Transfer Student Issues – Terese Pratt

  • There will be a Transfer Coordinating Council meeting on April 25.

Committee and Task Force Reports

Mandatory Advising Program – Martina Stewart

  • At this point, advisors are seeing mostly second-year students; remember to check to see if these students have a hold.

Advisor Awards – Martina Stewart

  • There were seven nominations for the UAAC advising award for new advisor; and four nominations for award for an advisor with three or more years’ experience. The selection committee will meet on April 23, with winners to be announced at the May 7 advisor social event.
  • Betsy Cook’s name was forwarded to the National Academic Advising Association, and she was awarded a certificate of merit.

Marketing and PR for Advising – Taunya Dressler and Sharon Aiken-Wisniewski

  • The Committee has spent the last couple of meetings working on a mission statement; this has involved considering the input received from the Marketing and Communications office, and how to effectively adapt it. The final proposal will be presented to UAAC.

The Advisor Position -- Vickie Morgan (for Gina Shipley)

  • The Committee met yesterday and compiled a list of positions (listed with Human Resources) that carry advising responsibilities; there was also a meeting with Human Resources regarding the hiring process. Feedback will be sought from UAAC members as well.

Graduation Application -- Lena May-Fraser

  • The Task Force, which has been meeting every two weeks, plans to presents recommendations in May.

Continuing and New Business

Major Expo: On behalf of Steve Hadley, Sharon Aiken-Wisniewski reminded the group of this year’s Major Expo (September 25).

Service Learning: Nancy Basinger, of the Bennion Center, announced the decision to change the terminology “service learning” to “community-engaged learning”, effective Fall 2013. Currently, both attributes are listed in the class schedule. Courses with these attributes meet the learning objectives of the course, while at the same time providing students the opportunity to help in meeting a community need (and to reflect on their experience). Help is needed (from advising and other staff) to replace the “service learning” designation not only for courses but in publications, web pages, and other University media.

Math Boot Camps: Janet Goff distributed information on the one-week math refresher workshops (MATH 10 and 15) for Fall 2013 and Spring 2014. MATH 10 is intended as a review of 1010, while MATH 15 reviews material from 1050. Fees for both include pre- and post-workshop Accuplacer testing.

Scholarships / NACADA: Sharon Aiken-Wisniewski noted that there have been a few changes to the Regents and New Century scholarships; more information will be presented at next month’s meeting.

Those who submitted a proposal for the NACADA national conference in Salt Lake City (October 2013) should have received their decision by now. Over 800 proposals were read; it was a very competitive process. Those who plan to submit a proposal for next year’s conference are welcome to contact Sharon for assistance.

Advising Tip of the Month

Petitions for “late withdrawal” (current semester) must be submitted to the college of the student’s major (or Academic Advising Center, in the case of undecided, premajor, or nonmatriculated students) by close of business on April 24.   It is important to verify the student’s actual coded major before processing a petition.

As of April 25, a student who wishes to petition must file a “Consideration of Exception to Policy”, indicating their wish to petition for withdrawal from a past semester; the decision on these is made by the Registrar’s Office, although a letter from the dean (or designated representative) of the student’s major college is required.

Other:

  • Community Engagement Day, April 25.
  • Shred day (sponsored by U of U Staff Council), April 25.
  • Department of Music: the days required for A Cappella have been reduced. University Singers (requires audition): all participants will receive $1,000 per semester.
  • Staff Excellence awards: nominations are now open. Advisors are encouraged to submit nominations within their district.
