April 15, 2010 UAAC Meeting Minutes

Congratulations to Jason Barkemeyer and Josh Larson, whose presentation, "Distance Advising and Students and Advisors," won the NACADA Best of Region award for Region 10.

Election of new UAAC Co-chair

Those present voted on the new co-chairman (to replace Mary Hasak as of August 2010); candidates were Jason Barkemeyer, Josh Larson, and Stephanie Ritrievi.  At the end of the meeting, Stephanie Ritrievi was announced as the winner.  She will join Jency Brown as the new co-chairs for 2010-12 period.

Registrar's Office - Michael Bard and Emily Johnson

  • Summer 2010 enrollment is up 7.2% from last year.

  • Departments should watch for graduation approval lists in early May; they are due back by May 26.  (All DARS exceptions should be completed by this time.)  Online functionality - advisors can see who has applied for graduation (contact Emily at Emily.johnson@sa.utah.edu ) for more information).

  • As of Spring 2011, DARS will be the tool used for graduation certification.  Departments need to be sure to get their emphases (within majors) approved by that time (Ed Barbanell can provide further information and assistance).

  • Graduate students will need to submit an application for graduation, effective fall 2010.

Admissions - Janet Muncey

  • Articulation packets, which went out last week, are due back to Janet by April 26.

Financial Aid -  no report

Curriculum Administration - Ed Barbanell

  • An instruction evaluation policy is being worked on.

DARS/GPS - Richelle Warr

  • For colleges whose 2009-10 roadmaps were already submitted, 2010-11 roadmaps are due by May 15.

  • Input is sought regarding when the end-of-semester deletion of existing DARS reports should happen (contact Richelle at rwarr@uc.utah.edu ).

  • Information / samples were distributed regarding DARS changes that are currently underway (adding "In Progress" courses to Total Hour and Upper Division Hour requirement totals).

Orientation - Michelle Jones

  • Fall orientation enrollment is up slightly from last year, as expected.  All programs are now open for reservation (except those given on the first and second days of the semester).  The program schedule has now been finalized and will be forwarded to college coordinators next week.

Transfer Student Issues - no report

Housing and Residential Education - no report

Freshman Advising Subcommittee - Amanda Hatton (for Leslie Park)

  • There was no report in this area as such, but information was distributed regarding the UC (formerly UGS) 1010 course (Your Path to A Successful Start at the U of U).

Second-Year Advising Program - Martina Stewart

  • As at the same point last year, about one-third of the student cohort still has registration holds; advisors should prepare for the possibility of seeing many of these students in the next few weeks.  Advisors are thanked for using the PeopleSoft Advising Notes function.

  • This fall's Mandatory Advising Kickoff event is slated for September 9; those willing to help in planning the event should contact Martina ( mstewart@uc.utah.edu ).

Advisor Education and Development Subcommittee - Vickie Morgan

  • The annual advisor social is planned for May 12, from 2pm to 4pm (information distributed); the theme is "Closing Ceremonies."  

  • On June 9, there will be a special presentation, intended for advisors, regarding LEAP and the Honors College, and the opportunities / programs they provide.

  • Advisor trainings are now being planned; please let Vickie know ( vmorgan@uc.utah.edu ) of any new advisors who may need the Advising Basics Workshop or PeopleSoft training.

  • The annual advisors' conference will take place on September 21 at the Officers' Club; those interested in helping to plan this event are encouraged to contact Vickie.

  • A series on assessment is being developed; it will address such topics as advising impacts, how to get relevant numbers, advisee satisfaction, retention, and quality of interaction with students.  Vickie would like input from advisors as to their interest and what specific information and topics they would like, but also thoughts as to best time of day, frequency, etc.

Graduation Guarantee - Libby Oberg

  • The Colleges of Science and Mines and Earth Sciences have now gone through GPS training.  For the College of Engineering, most guidelines have been finalized.

  • At this point, 55 roadmaps have been published, with 52 having been used.  A total of 637 plans (including those used in training) have been saved.

  • For next year, two students who are trained on GPS will be going out to various departments and conducting information sessions for students.

New and Continuing Business

Modification to Academic Standards: 

Jency Brown announced that as of Fall 2010, suspended students will be required to sit out for three semesters rather than the current two.  A second suspension will be referred to as a "dismissal", and dismissed students will not be permitted to return until they become eligible for academic renewal (the period for which will be changing from ten to seven years is in progress of policy implementation).When a student returns from a suspension, they will need to meet with an advisor who will decide whether to place them back in the same catalog year (and major) as they were in previously.  Advisor involvement will become increasingly important with suspended students.

Jency also noted that Academic Advising Center continues to get some phone calls from students who claim to have already met with an advisor for second-year advising, yet still have a hold.  Academic Advising Center refers these students back to the advisor who they say they met with.  It's also very helpful for Academic Advising Center to be made aware of situations where an advisor is going to be gone for more than one week, so that Academic Advising Center advisors and staff don't refer students to them (or can alert students to the delay).  This information can be shared with Academic Advising Center through college coordinators / liaisons.

 

Major Exploration Expo: 

Steve Hadley reported that the date that has been settled on is March 8, 2011.  The Utah Advising and Orientation Association (UAOA) conference will take place on May 27-28 (postcards were sent today).

General Education Update / School of Business: 

Mary Hasak noted that currently, the BUS 1050 course (Foundations of Business) counts as either a Social/Behavioral Science or Humanities course; as of Fall 2010, the Humanities designation will be eliminated for Business students but the course will retain the designation for students not majoring in Business.

WRTG 3016 Course (Business Writing): 

Sharon Aiken-Wisniewski noted that the course is now open to all students, regardless of their major or minor; however it may be particularly relevant/helpful not only for business majors and minors, but also students in engineering, communication, and students who are interested in nonprofit work or who seeks to benefit by understanding business writing principles.  The course will be offered online within the next year.

Other: 

Nevon Bruschke announced the BFA student art show, which runs from tonight through May 7.  Liz Leckie reminded everyone that there is now a Department of Communication minor in Media Studies.
