August 26, 2010 UAAC Meeting Minutes

This being the first meeting of a new academic year (and with new co-chairs), all of those present introduced themselves.

Mary Ann Dresher distributed a listing of one-hour Music ensemble courses, open to all students.

Liz Knight distributed information on the September 14 Study Abroad Fair.  Her office recently began a  co-project with Career Services, to help students articulate the value of their international experience in a job interview and in other professional settings (handout).


Registrar's Office - Emily Johnson
  • Total enrollment as of this morning is 31,035, up by 5.3 percent.
  • Reminder re online FERPA release:    available to students through CIS (link:  FERPA Release Consent).  Advisors can access through PeopleSoft (Student Applications, FERPA consent).
  • Graduation process - thanks to departments who got approvals in on time; those who haven't, please do so right away.  Reminder:  as of spring 2011, DARS will be the final, official tool for determining graduation status; training sessions to be held.
  • The Update Major/Minor web application will be changing shortly.  
 
Admissions - Janet Muncey
  • New Getting Ready guides and articulation guides are now available.


Financial Aid - no report

Curriculum Administration - Ed Barbanell

  • For fall, 78% of students have a "clean" (i.e., green all the way) report.
  • A DARS report can be converted to a PDF (enabling a particular "run" to be retained for later reference).
  • There will likely be a heavy volume of transcripted emphasis requests submitted soon to Undergraduate Council.
  • Graduation Candidate Report (from Registrar's Office) is available to all advisors (must have security authorization).


DARS/GPS - Richelle Warr

  • Changes are pretty much locked down for 2010-11 catalogue year.
  • Changes in how DARS identifies transfer institutions will be coming in the next six weeks (at some point DARS will be down for a time, and existing reports deleted).
  • Graduation guarantee work continues, including helping Humanities and other colleges to develop guidelines.


Orientation - Trisha Jensen

  • Total 5,297 students seen, including online; online orientation stays open until the last day to add.
  • Students still needing orientation should contact the office (581-7069).
  • Trisha will soon contact college coordinators to set up meetings for planning next year's programs.

Transfer Student Issues - Terese Pratt
  • Natalie Brown has taken Amanda Hatton's place in Academic Advising Center.
  • US Sino Pathway Program students from China have arrived.  These students took classes in China as well as at Northeastern University.  Any of these students may be visiting a departmental advisor.

Housing and Residential Education - Angie Shewan
  • Housing is full.  New Honors housing has been approved, with groundbreaking planned for this year.

Mandatory Advising Program - Victoria Trujillo & Martina Stewart
  • Fall kickoff event is September 8 (different format this year); RSVP by end of today to David Eisen (deisen@uc.utah.edu ), specifying which sessions you will be attending (this includes those on the Committee).
  • September 20 - e-mail to freshmen regarding meeting with advisor during their first semester (enabling early registration for Spring Semester 2011 1000- and 2000-level courses).  Early registration starts November 13.
  • Second-year advising:  students will be selected around October 8; must meet with an advisor before March to avoid a registration hold.

Advisor Education and Development - Vickie Morgan
  • FERPA release as discussed previously (handout).
  • September 2 -- Advising Basics Workshop; RSVP by end of today ( vmorgan@uc.utah.edu )
  • September 15 - PeopleSoft training for advisors
  • If you're a new advisor or know of one, e-mail Vickie.
  • September 21 - UAAC annual advising conference; RSVP to David Eisen by September 6 ( deisen@uc.utah.edu ).  The conference will include an information buffet (see e-mail sent out recently from Vickie and Nora Wood).  Presenters are finalized; keynote will be Amy Bergeson from College of Education.  Volunteers are needed; e-mail Vickie or Nora ( nora.wood@poli-sci.utah.edu ).

New and Continuing Business 
  • Math Prerequisite Checking:  Kelly MacArthur distributed information and reminded everyone of the process and criteria that are in use, as well as details on the relevant MATH courses.   Particularly notable:
  • All prerequisites for MATH expire after two years.
  • Permission codes are given only when students have fulfilled prerequisites.
  • Students who do not qualify for their registered courses will be dropped (hasn't happened yet).  Example:  student who took 1210 in summer but didn't pass it, and is registered for 1220 in fall.
  • Reminder:  prerequisite checking software does not yet recognize any transfer work (articulated or not).
  • Some advisors apparently have authority to "force" students' registration in courses; this should not be done for MATH courses (it will be caught).
  • Accuplacer can be taken at other colleges and universities as well as here; students just need to keep their printout.

*After upgrade will continue with discussion on implementation of this product.

Tool in College Source – redLantern Suite (DARS, GPS) that assists students with articulation of courses from other campuses to the U of U.

 

Student subscribes and enters/ downloads courses.  Very clear that this is an advising tool but students still needs to see an advisor.

Review of Enrollment Management’s Consulting Report (Sharon Aiken-Wisniewski)

Feedback from AACRAO Consulting Report to the U of U on Enrollment Management-Proposed Student Profile

  • The U of U purchased consulting services from AACRAO (American Association of Collegiate Registrars and Admissions Officers) to conduct a comprehensive audit and analysis of, and recommendations for, new student enrollment activities.
  • Mateo Remsburg is leading this effort on behalf of the U of U
  • Two visits occurred in Summer 2010
  • Second visit included a report titled Audit, Analysis, and Recommendations for New Student Enrollment Activities: Phase I
  • Included in this report were three proposed student profiles
    • o   Possible Goals for Desired Enrollment Profile (11)
    • o   Possible Goals for 1st Year Students (An Ideal Freshman Class) (12)
    • o   State Population by Ethnicity to guide enrollment (13)
    • These profiles are being shared with the campus community for feedback on the following questions:  Are these profiles attainable in the next 5 years or so? Why or Why not?  What would it take to achieve these goals?

    • I will share your comments with the Enrollment Management Project Team at the meeting on August 31 and consider your thoughts as this initiative moves forward.

Sharon’s Summary of the whole report:

  • U of U is well positioned to recruit a national competitive student body based on offerings
  • Current expenditure on recruitment is $197/student
  • Transfer student enrollment is a good thing
    • o   Fill upper division classes (Funding paradigm)
    • o   Without impact various ratings
    • o   But need more activities for transfer students. 
    • High market share of in-state ACT scores sent to U compared to other research state universities (7)
    • Embrace the K-20 philosophy – would support enrollment of specific groups
    • Need to consider how we leverage our financial aid and scholarship resources
    • Data need to be available and shared across the campus
    • Technology – used across the campus for results (Application to Grad School) and leverage it to work smarter

What happens next is a group that includes President Young will develop a Strategic Enrollment Plan for our campus.
