Gwen Fears Goodbye Party
  • July 12 from 3:30-5:00 in the Crimson View
  • Gwen’s last day is July 8.
  • Trisha Jensen will be in the position of Interim Director from July 8 to October 8 and Mark Pontious will serve from October 9 to January 9. Search for a new director will begin in late summer.

  • Busy with reevaluating freshman applications. Reviewing final high school graduation transcripts and core course requirements.
  • July 15 is the last day for:
    • Fall applications and the files submitted must be complete files.
    • Letters of sponsorship for the sponsored student program to be sent to admissions.
    • Admitting students for second block of summer classes.
  • Busiest season for residency.
Registrar’s Office - Michael Bard
  • Enrollment for summer: 13,248 - up 7%
  • Enrollment for fall: 18,512 - up 1.5%
  • June 24 is the last day to withdraw from summer courses.
Financial Aid - Amy Capps
  • Summer application deadline has passed
  • Fall application – still processing applications
  • Work study funds still available for 2011-2012. Students could start working as early as July 1. Anticipate funds will be gone by mid-July
  • Pell grant program changes: eliminating the 2nd pell award for students which will impact students taking summer courses. It will be implemented for the 2011-2012 school year.
Curriculum Administration - Lyndi Duff
  • Deadline for new curriculum forms and changes for spring semester is September 1.
  • Course descriptions changing in the course catalog. Will be using the course descriptions in PeopleSoft. The changes may possibly appear for spring 2012 semester but definitely for summer 2012.
  • The course catalog will be changing and using the program descriptions from the current catalog which haven’t been updated since 2008. Encourage faculty and departments to update the information so the catalog will be up-to-date.
  • The course information will be moved out of CIS.
DARS & GPS - Libby Oberg
  • GPS marketing is working on building up the website with more information for students.
  • Website: www.gps.utah.edu
  • There are pdf tutorials on the site:
    1. How to add a class
    2. What the icons mean when creating their road map.
  • Also looking to record some videos walking students through the system.
  • Emails scheduled to send to student twice in the fall semester reminding students about GPS.
Advisor Ed & Dev - Vickie Morgan
  • 6th Annual UAAC Advising Conference – September 20.
  • Theme: PAC 12 Advising Playbook | Personalize. Advocate. Collaborate
  • Save the Date and Request for Proposals for the conference sent via email to all advisors.
  • Email will include the link to submit proposals and more information.

Housing & Residential Education - Scott Jensen
  • Conducting a wait list clean up after the first housing deadline passed. Still 600 students waiting for housing.
  • First deadline to cancel housing request was June 1.
  • Room holds will be cancelled on July 1.
  • Shortest wait list is the first year males
  • Longest list is for first year females
Mandatory Advising Program (MAP) - Martina Stewart
  • Committee has three goals:
    • Establishing MAP timeline for first and second year students – taking graduation deadlines
    • Developing communications for students and advisors
    • Plan conference sessions for the UAAC Advising Conference
    • This year we are combing the MAP kick-off event into the UAAC Advising Conference. Advisors will receive updates on MAP changes during the conference.
Major Expo, Live & Virtual – Martina Stewart
  • July 7 – 10 a.m. to 4 p.m. – Virtual Expo Premiere
    • Everyone should have received an invitation to the Virtual Expo Premiere. You must RSVP to the event. It will be a red carpet event with awards given. More info in the website.
  • September 28 – the Live Expo
    • RSVP was due on June 17 - if you haven’t RSVP do it ASAP
  • The website will feature the video clips created by advisors around campus
Repeated Course Policies - Sharon Aiken-Wisniewski
  • The Great Academic Advising Series: Refresher on checking for repeats
  • The DARS report doesn’t show transfer work so it is important to go to the end of the report to see if they have transfer work that may already count. If unchecked this could lead to student missing credits. DARS is not catching repeats right now.
  • Another reminder: remind students about the “threepeat” rule. Student will pay full cost of course when they take the course for a third time.
  • If there are any questions about the DARS report send them to Academic Advising Center.
  • The Registrar’s Office has the final say on what counts for credits.
  • Students can risk losing financial aid if they get low grades so if the student is working on repeating classes have them work/talk to financial aid.
  • Question: What happens if they took credits at SLCC and then repeat the course at the U?
      o Advisor can work with the Registrar’s Office. If the credits have a long period of time between the courses the Admissions Office has the articulations policies.
Math 990 update - Janet Goff
  • If students are not able to register for MATH 990 they need to go to
    • Student Records
    • Click on the Add a non-credit career which will enable students to register for the math course.
  • Advisors suggested that we add a message/note to this website section.
  • Sharon advised that we be proactive by adding the info to the class schedule (“you will need to register for a non-credit career
Career Services Career Classes - Pat Reilly
  • Career Services offer successful career classes geared towards second and third-year students.
  • Courses are 1 credit each.
PeopleSoft update - Becki Broadbent
  • 3 requests submitted for changes all under the advisor meeting panel:
    1. When you select a MAP freshman meeting time and save it will automatically give students a priority registration time (if eligible)
    2. When we make an orient transfer meeting type note is will automatically mark the transfer meeting panel
    3. Cleaning up the look of the panel so the transfer meeting panel will not be needed any longer.
  • Not in the system yet but hopefully by the end of summer.
  • Other changes in PeopleSoft on the advisor meeting types:
    1. Removed some types that are no longer being used.
    2. Changed misc to general.
    3. Added a petition type.
    4. A couple types of orientation and MAP types.
    5. The view all advisor notes has been changed so you can view all the notes in one place.
Learning Enhancement Program - Leslie Giles-Smith
    Programs available to students:
  • ED PS 2600: Strategies for College Success 3-credit course
  • Supplemental Instruction
  • ASUU Tutoring Center
    • In the past the tutoring costs could be subsidized if they received pell grants but this is no longer the case, now students need to qualify for tutoring.
    • Want to encourage students to use some of the other free services like supplemental instruction, math lab, and group tutoring.
