August 23, 2012

Admissions – Janet Muncey

  • Applications for Fall 2012 admission are no longer being accepted.
  • Online application form: the current version will go down at 10:00pm on August 26, and online application will be unavailable through September 3; a new version goes “live” on September 4. Any unpaid applications that were begun before August 26 will be deleted.
  • Departments and programs should delete (from their websites) any links to the admissions index calculator (as it’s no longer being used). The current updated web page for the Admissions Office is www.admissions.utah.edu.
  • Janet hopes to get the new Getting Ready guides and state articulation guides out to the departments sometime next week.

Registrar’s Office – Dallin Cowles, Emily Johnson

  • Fall 2012 enrollment is at 32,530 (up 2% from last year).
  • Deadlines:
  • August 29 – last day to drop (delete) semester-length and first-half courses
  • September 4 – last day to add, elect Credit/No-Credit, or audit (semester-length and first-half courses); tuition due
    • Summer 2012 graduation clearances are now complete. As of August 17, 869 undergraduate degrees had been awarded and diplomas mailed. There were some problems with grades unreported by instructors (which resulted in posting of an “EU” grade). Departments do need to emphasize, to instructors, the importance of timely reporting of grades.
    • The Fall 2012 preliminary evaluation process will start in early September.
    • If departments need to declare a minor for a student using the major/minor web application, it isn’t possible to update the catalog year. If the student should have a catalog year other than the one active when the minor is added, the advisor must contact Registration/Records and request a change be made to the catalog year.If signing off on agraduation applicationand the catalog year is different from the major catalog year, indicate the appropriate catalog year next to the minor. The Registrar’s Office is working on updating the graduation application to include this new field.
    • There are about 10% of students who are declared in a department that requires an emphasis, who do not have an emphasis listed on their record. Advisors should work with their students to get this information added.
    • For updates to catalog year, advisors can contact the Registrar’s Office at (801) 581-8969, registrar@sa.utah.edu.

Financial Aid – no report

Curriculum Administration – Ed Barbanell, Lyndi Duff

  • August 27 is the deadline for Spring 2013 curriculum changes (add, change, inactivate courses), including prerequisites (departments that participate in checking of prerequisites need to have the information to Roslyn Jensen in the Registrar’s Office by that date). Curriculum Administration’s website is www.curriculum.utah.edu.
  • Currently under consideration is “Acalog”, a product that enables production of an online catalogue; some other institutions in Utah (as well as across the US) are currently using it. A demo will shortly be sent out over the UAAC listserv.
  • Lyndi will be out from about September 18 until late October; during this time, there will likely be no curriculum changes processed.
  • Fall 2013: catalog and curriculum changes, DARS changes for 2013-14, and prerequisites will be due by January 25, 2013.

DARS/GPS – Richelle Warr, Sharon Aiken-Wisniewski

  • The once-a-semester purge of DARS reports will take place on September 21, around 5:00am (any reports generated before then, and/or saved on the system, will be deleted).
  • September 5 – DARS / GPS training (including entering exceptions, how to use GPS with students, etc.); information will be forthcoming on the listserv.
  • GPS: as of noon today, a total of 6,183 plans created by 5,575 students.

Advisor Education and Development – Vickie Morgan

  • August 29 --- next Advising Basics training. RSVP’s have officially closed – but if departments know of a new advisor who needs information and access, please let Vickie know (vmorgan@uc.utah.edu).
  • September 12 – next PeopleSoft training for advisors (information forthcoming over the listserv).
  • September 19 – annual campuswide advising conference. Speakers will include Martha Bradley (Senior Associate Vice President for Academic Affairs), Raymond Tymas-Jones (Dean, College of Fine Arts), and a University of Utah recipient of the Truman Scholarship. This year, some advisors from Salt Lake Community College will also attend. Remember to send in your RSVP.
  • As there are often a number of new advisors at this time of year, please remind them of the importance of requesting to be included on the UAAC listserv.

Orientation – Trisha Jensen

  • Thanks to all those who helped out with orientation programs during the summer. There appear to have been a record number of students who participated (final numbers to be presented at next month’s meeting).
  • August 29 – Plazafest (an event to showcase student clubs, organizations, and resources), 10:00am to 2:00pm in the Union Plaza. Tables may still be available for those who have not yet reserved one (but must be requested by tomorrow) – Contact Trisha at tjensen@sa.utah.edu.

Transfer Student Issues – Terese Pratt

  • The visits to Salt Lake Community College (SLCC) will begin again shortly, and a number of University advisors will be participating. As always, if departments and programs have materials that they would like displayed at the table (which sees a lot of student traffic), please forward them to Terese at 450 SSB (pratt@uc.utah.edu).
  • For advisors who want to accompany Terese and Natalie Brown to SLCC – the fall schedule is full at this point, but planning for spring will begin in November.

Mandatory Advising Program – Martina Stewart

  • September 6 – Mandatory Advising Program fall kickoff event (8:00am – 11:00am including breakfast). This year, there will be less focus on the logistics of the Program (which are now being covered through Advising Basics and PeopleSoft training); emphasis will instead be on delivery of advising (the theme is “Advising as Teaching and Learning”.) RSVP by August 24 to David Eisen (eisen@uc.utah.edu).

Major Expo – Steve Hadley

  • The Expo will take place on September 26 (announcements distributed). Departments and programs should be thinking about their displays. Remember that even students who have declared a major can benefit from a wealth of information about minors, certificate programs, study abroad, service opportunities, etc.

New and Continuing Business

Subcommittees / Task Forces: In the past, UAAC had standing subcommittees to pursue specific projects and examine processes (e.g., Technology, Assessment) as well as time-limited task forces to investigate a specific subject or campus event. Should these be brought back? One possible focus would be policy (e.g., the course repeat policy). Please forward any ideas for such areas to Sharon Aiken-Wisniewski (saiken@uc.utah.edu) and/or Shari Lindsey (shari.lindsey@health.utah.edu) and these will be discussed at the next meeting.

UAAC Website: Sharon Aiken-Wisniewski announced that the website has recently been updated (advising.utah.edu/uaac). Advisors can request to join the listserv through the website.

September Meeting: After discussion, it was decided to cancel the regular monthly meeting for September (in light of many other events during that month). Information and updates will be shared via the listserv.

Advising Tip of the Month:

August 26 – last day to add an open course without a permission code.

August 27 through September 4 – courses may be added with a permission code (contact the relevant department for information about obtaining the code).

Enrollment Opportunities

Sean Meegan, instructor for one of this semester’s sections of Psychology 1010, has been given the charge to increase enrollment in the course. He described some of the topics and foci of the course, and emphasized that it’s still OK to recommend it to students at this point. Relevant information:

This course is a fun and useful overview of the field of psychology with an emphasis on finding everyday, real-world applications of course material.

Course format includes entertaining and energetic lectures sprinkled with funny videos and interesting stories.

Grade is based on exams (60%), online activities and quizzes with unlimited attempts (25%), and outside-of-class activities like watching movies or going to lectures that get summarized in short papers (15%). Lots of extra credit is available too!
