Aubrey Vickers, a student in the College of Fine Arts, spoke (and distributed information) about the upcoming First Annual University of Utah Campus Art Stroll, on April 11.

Admissions – Janet Muncey

  • Deadline for Summer applications was March 15, but applications are still being accepted (with a late fee) until April 15, at which point files must be complete.
  • Deadline for Fall applications is April 1; they will continue to be accepted (with a late fee) until June 1.
  • For freshmen who have applied, the next date for notification of admission (or nonadmission) is April 15.
  • Janet will try to have articulation packets out to departments by April 8; they are due back by April 26.

Registrar’s Office – Dallin Cowles and Emily Johnson

  • Registration for Summer Term began on March 18. Open enrollment will begin on April 8 (which is also the start of Fall Semester registration).
  • Important dates / deadlines:
  • March 29 – last day to withdraw from second-half courses
  • April 19 – last day to reverse Credit / No-credit for semester-length and second-half courses
  • April 24 – last day of classes
    • Spring graduation applications are running about 100 more than last year. Students who still need to apply must do a petition and pay a late fee. As of the last day of classes, petitions will no longer be accepted.
    • Commencement: students who are candidates for Summer graduation may walk in the Commencement exercises. Those planning to graduate in Fall should walk in next year’s ceremony. Those who are applying now will not have their names listed in the commencement program.

Financial Aid – no report

Curriculum Administration – no report

DARS/GPS – Richelle Warr

  • Since July 1, 1,514 students have used GPS, across all available majors. Breakdown by college (number of plans):

Advisor Education and Development – Vickie Morgan

  • A financial aid roundtable took place yesterday; Amy Capps provided a lot of useful information. Vickie will forward the handouts.
  • March 26: International student advising Brown Bag; immigration basics will be discussed.
  • May 7: Advisor Recognition Reception and Social (time and location will be forthcoming). Volunteers to help plan the event (and assist on the actual day) are being sought; e-mail Vickie at vmorgan@uc.utah.edu.

Orientation – Sharon Aiken-Wisniewski for Trisha Jensen

  • Dates for Summer orientations are included on the bag of today’s meeting agenda (April 5 and 22); these are combined programs (freshman and transfer).

Transfer Student Issues – Natalie Brown for Terese Pratt

  • The Transfer Coordinating Council will meet again on April 25. This once-a-semester event is an opportunity to share updates about the transfer student scene, best practices, etc. Details will be forthcoming.

 

Committee and Task Force Reports

Mandatory Advising Program – Martina Stewart

  • On February 27, there was an advising roundtable to follow up on the idea of advising as teaching and learning. About 26 attended.
  • On March 6, holds were placed on second-year students (who hadn’t yet met with an advisor). Academic Advising Center received calls from a number of these students who claimed to have met with their advisor; these were referred back to the advisor in question. Advisors, please remember to remove the holds when meeting with these students.
  • New freshmen – 281 students were e-mailed on March 6. Advisors should give these students early registration for Fall Semester, when meeting with them.

Advisor Awards – Martina Stewart

  • The National Academic Advising Association (NACADA) has a national outstanding advisor award nomination process each year; this year the University was able to submit three nomination packets for: Dianne Leonard was nominated in the administrator category, and Betsy Cook in the advisor category; and Campuswide Advisor Education and Development (program category). The award decisions are usually made in June.
  • UAAC awards – nominations have gone out. One award is for an individual who has been advising for three or more years, and the other is for someone who has advised for a shorter time. Deadline for nominations is April 2. A subcommittee will be formed to consider nominations and decide the winners; it will be composed of Betsy Cook (last year’s winner); a student; and representatives from offices that work with advisors.
  • Terese Pratt, from Academic Advising Center, has been named the Perlman Award winner for this year.

Marketing and PR for Advising – Taunya Dressler

  • The Committee has been meeting regularly, and invited representatives from the University Marketing and Communications to present on the Imagine U campaign. The campaign representative recommended that the Committee compose a mission statement as a starting point. (A couple of proposed statements were read.)
  • Five main audiences have been identified as focuses: students, faculty, administration, community (including parents), and peers (staff colleagues).

The Advisor Position -- Vickie Morgan (for Gina Shipley)

  • The Committee has decided to continue on with the four “pillar” areas discussed last month; initial focus will be on two of these. A subcommittee will focus on the roles of advisors as defined on our campus and at peer institutions; a second subcommittee will concentrate on a career ladder.

Graduation Application -- Lena May-Fraser

  • The Task Force is currently reviewing our graduation application form as well as the process as a whole; recommendations will be presented in May.

Continuing and New Business

Major Expo: Steve Hadley announced that the next annual Expo will be on September 25 from 10am to 2pm. He is currently updating the invitation list; those present today felt that mid-May is the best time for these to be sent out.

UAOA: Steve also noted the upcoming annual Utah Advising and Orientation Association meeting, on May 30 and 31. The registration deadline is May 12 (an e-mail message about scholarships was sent today).

Academic Standards: Becki Broadbent noted that the scholastic standards team in Academic Advising Center has recently been working to reevaluate the existing process for suspended and dismissed students. As part of this, there have been revisions to some of the relevant forms; there are now a new Suspension / Dismissal Appeal Form and the Major Advisor Meeting Form (both distributed). In Fall 2011, a new policy went into effect: a student who is suspended for the second time is “dismissed’ and cannot return to the University until they are eligible for academic renewal (that will bring their cumulative GPA to 2.0 or above). For Fall 2012, approximately 100 students were suspended.

As a reminder, Academic Renewal is intended for currently enrolled students who are pursuing their first bachelor’s degree at the University, and may be done once. All of a student’s grades that are under C-minus -- and that are at least seven years old – are removed from the GPA computation. To begin the process, a student needs to meet with a Academic Advising Center advisor.

Exercise and Sport Science Position: Rachel Bonnett noted that an advisor position in the Department of Exercise and Sport Science is currently posted and open to external candidates.

Beacons of Excellence: Shari Lindsey reminded everyone of this program, which recognizes faculty, staff, and programs that have helped to make the student experience exceptional. This year, the Committee would like to get as many nominations as possible (there are already about 140), including more nominations of advisors. The Committee (which includes last year’s recipients) will renew this year’s nominations in April.

Course Offerings for Summer or Fall 2013

PRT Classes: Betsy Cook distributed information about two Parks, Recreation and Tourism courses to be offered this summer: PRT 1110 (Leisure in Your Life) and PRT/ENVST 5180/6180 (Field Ecology).

Advising Tip of the Month

As stated on the agenda:

If you are experiencing problems with an online program, clearing the cache can help. This was the case as the last set of fixes was applied in PeopleSoft last week. Handouts are available that can walk you through this process, for a number of browsers; you can also contact the Help Desk at 1-4000.

The remainder of the meeting was dedicated to Shelley Nicholson’s presentation, “Destination: Graduation”.
