The four Student Success Advocates (Stephanie Santarosa, Tim Weymann, Jen Molloy, and Christine Contestable) presented information about their role and activities, and the various ways in which they interact with student across the campus.

Admissions – Janet Muncey and Maryn Lythgoe

  • Admissions Office has ceased accepting applications for Fall Semester (although nonmatriculated students, along with those who attended previously and have not attended other institutions in the meantime, can still apply). Regarding the deposit and deferment requirements for Fall Semester: these were intended to (mostly) stop as of yesterday; those being admitted now will see a link in their acceptance letter.
  • Spring Semester 2014: beginning in August, a new online application will be available. Admissions will partner with the Honors College to have an Honors application incorporated into the main application form. The new priority date for applying for Honors will be November 1.
  • All are encouraged to check out the new Admissions website (admissions.utah.edu), and should update any links (in their own sites) that lead to it.
  • Getting Ready guides – tomorrow is the deadline for getting updates to Janet.

Registrar’s Office – Dallin Cowles and Emily Johnson

  • As of this morning, enrollment for Fall is 24,437 (similar to last year).
  • Deadlines:
  • July 26 -- last day to reverse CR/NC for semester-length and 2nd-half courses
  • July 29 – Fall 2013 open enrollment begins
  • July 31 – Summer Term classes end
  • August 1 and 2 – final exams
  • August 12 – Summer Term grades are due; students will see them as of August 13
    • Emily will be taking on new responsibilities, and will no longer oversee the graduation area; she will continue to work with DARS. She will be handling NCAA coding for athletic eligibility.
    • This semester’s graduates total 2,064 (of whom 1,264 are undergraduates). A final reminder will be sent to students next Tuesday (if they are not going to complete requirements, they can still renew or reapply later). Students are being asked to be patient as far as when their degree will be posted (there is a limited number of evaluators in the Registrar’s Office).
    • A reminder about deadlines for DARS exceptions will go out to advisors next week.

Financial Aid – Amy Capps

  • Work-study funding is mostly exhausted.
  • There are still some departments on campus that haven’t reported scholarship information to Financial Aid and Scholarships; a hold will be placed on those students’ aid until this is received.

Curriculum Administration – Lyndi Duff

  • Approval has been obtained for purchase of a new catalogue product. Utah State, Southern Utah, and Weber State use the same product, so their catalogues can be viewed in order to get an idea of what it will look like. The new catalogue will be done for Fall 2014 (and will likely be posted in March or April).

DARS/GPS – Richelle Warr

Advisor Education and Development – Vickie Morgan

  • An end-of-year survey is currently under development. It will allow advisors to share their opinion of this year’s Education and Development activities, what has been useful to them and to students, and what they’d like to see for the upcoming year. Advisors, please do complete it when you receive it.
  • The next Advising Basics training will be on August 13 (an e-mail went out today). If departments have a new advisor who might not yet be on the listserv, please let Vickie know.
  • An Advisor Technology training will be coming in September (this year, as a trial, PeopleSoft for Advisors training and DARS/GPS training will be merged).
  • This year’s campuswide UAAC advising conference will take place in March (due to the NACADA national conference in Salt Lake City this October).

Orientation – Trisha Jensen and Kathryn Kay

  • The Office of Orientation and Leadership Development is looking to hire new leadership interns, and the application is now available; advisors are encouraged to refer students to this opportunity.
  • Transfer and large first-year orientation programs have now come to an end.
  • Reminder: regarding online orientation, there is no longer a “standard” option for it, but it remains as an option to be used for true exceptions. These would include: military students who want to take classes online before attending on campus later; pregnant women on bedrest; and people outside of practical travel distance. Students who do complete the online orientation are still required to come to campus on August 23 for a follow-up session; if they don’t, a registration hold will be placed for Spring Semester and they will need to go to a make-up session to release the hold. Online numbers are down from last year.

Transfer Student Issues – Terese Pratt

  • Fall visits to Salt Lake Community College are being planned; any advisor who is interested in participating in one or more visits should e-mail Terese (tpratt@uc.utah.edu). The usual visit day is Wednesdays.

Committee and Task Force Reports

Mandatory Advising Program – Martina Stewart

  • This year’s MAP kickoff event will be on September 10, from 8am to 11am. A theory-based type of program is under development for this year’s event.
  • Martina suggests that perhaps a good time for orientation holds to become effective, is before advisors start meeting with freshmen.

Advisor Awards – Martina Stewart

  • The Committee’s final meeting was held on May 21. The Committee discussed the process that was used this past year, and also wrote a summary with recommendations.

Marketing and PR for Advising – Taunya Dressler

  • The Committee last met on May 23; the meeting was actually a creative workshop to come up with a tagline. They will reconvene in early September to review ideas, and will then bring to them to UAAC for a vote.

The Advisor Position – Gina Shipley

  • Work is continuing; at its last meeting, the Committee reviewed its goals. It has proved somewhat difficult to obtain accurate usable data from Human Resources as far as the advisor position. At the next meeting, the Committee will look at different websites, makes plans to contact schools in USHE, Pac-12, etc.; and look at organizational charts, career ladders, and other sources and documents.

Continuing and New Business

Major Expo: Steve Hadley noted that the Expo is 68 days away. (An RSVP list was distributed.)

College Scheduler: Sharon Aiken-Wisniewski noted that the Registrar’s Office is looking at a number of different companies’ products that assist students with developing a schedule. Tim Ebner has put together a letter and videos, and is interested in advisor feedback.

UAAC Web Page and Blog: Vickie Morgan announced that some changes have recently been made; the schedule has now been updated for coming year (trainings, etc.). President’s Welcome: Sharon Aiken-Wisniewski reminded about President Pershing’s welcome to new students on August 24 at Kingsbury Hall.

LEAP / BlockU Programs: Sharon noted that there has been some question about enrollment in these two programs, and their respective aims. Each is basically a learning community (information distributed). A given student’s situation may “fit” better with one than with the other (e.g., some student may have trouble taking 15 credit hours).

Advising Tip of the Month

If a student believes that placement in Math or Writing is not accurate, he/she has the opportunity to take a placement exam in the Testing Center in 498 SSB. To schedule either of these exams, call 581-8744. If a student needs foreign language placement due to previous experience or courses, he/she can take a language placement exam through the Languages and Literature Department in OSH 112.
