June 17, 2010 UAAC Meeting Minutes

Greetings!

As another year ends for UAAC, Mary and I would like to take the opportunity to thank David Eisen for recording the monthly meetings through these Minutes and Natalie Murdock for maintaining the listserv and posting Minutes.  We appreciate their efforts and expertise.

Many thanks to everyone who participated in UAAC through attending meetings, serving on sub-committees, and participating in UAAC events.  It was a very productive year due to this collaborative spirit!

Finally, we wish continued success to UAAC as the two new co-chairs, Stephanie Ritrievi and Jency Brown, assume their role in August.  There leadership and expertise will continue the effectiveness of UAAC!

Thanks for allowing us the opportunity to serve as UAAC co-chairs for the last three years!

Tricia Sugiyama, from CESA, announced that volunteers are needed to help register students at the CESA orientation on June 25, in the Marriott Library (sign-up sheet distributed).

Thanks were extended to Mary Hasak and Sharon Aiken-Wisniewski for their co-chairmanship of UAAC over the past few years.

Registrar’s Office – Michael Bard

  • Summer enrollment is up by 4.2% (12,387 students); fall enrollment is up by .5 % (total 17,130 students).

  • Two“FERPA 101” workshops are scheduled for Thursday, July 29 (identical morning and afternoon); all advisors are encouraged to attend.  (https://studentaffairs.utah.edu/regist/Ferpa/FERPA101Workshop.htm).


Admissions – Nancy Trevino

July 31 is the last day that Fall Semester applications will be accepted online.  Beginning August 1, applicants must use the Late Application process (extra fees, meet with a recruiter, etc.).  These late petitions will be processed until at least the first day of Fall Semester and possibly until the census date.


Financial Aid – no report

Curriculum Administration – Ed Barbanell

  • Information on every emphasis (within departmental majors) that has been received by Undergraduate Studies, has gone through the appropriate channels and been approved, and placed on the website.

  • After this fall’s PeopleSoft upgrade, efforts will be directed toward spring 2011’s goal of having an accurate DARS report serve as the final graduation tool.

 

DARS/GPS – Ed Barbanell for Richelle Warr

Richelle is currently attending the redLantern conference in Washington, DC, but reminds everyone of the deadlines that were set for DARS reports for 2010-11; and also that once departments have their new DARS setup, a new GPS is then necessary to do (if curriculum is the same as last year, a “cut-and-paste” is fine).

Graduation Guarantee – Sharon Aiken-Wisniewski

  • Elementary Education, Business, Fine Arts, and Social /Behavioral Science are now part of the Graduation Guarantee Program; Engineering is slated for fall  Humanities is moving forward as well, with Science to follow

  • GPS is really being used quite a bit by students; participation levels in Graduation Guarantee appear to be more uncertain (no one at the meeting reported having had a student that signed up).

Orientation – no report


Transfer Student Issues – Terese Pratt

  • Salt Lake Community College visits for fall (Tuesdays and Wednesdays) are being scheduled.  As always, departmental advisors and/or representatives are welcome and encouraged to accompany Academic Advising Center staff on these visits (with information about their particular program) or to send materials.  Those interested should contact Terese at tpratt@uc.utah.edu .

  • US Sino-Pathway Program:  the University joined a consortium along with several other institutions (working with Kaplan, Inc.).  (Website:  www.chinapathways.us/index.html.)  Students are recruited from across China; they take classes (offered by Kaplan) in different cities there and the courses are transcripted by Northeastern University in Boston.  After two semesters in China, each student chooses which consortium university to attend (all students start with a Summer Bridge Program in Boston).  The five Academic Advising Center staffers who went to Boston helped our 39 students register for University of Utah classes; these students (who are expected to arrive August 15) will also be contacting departmental advisors.  Any questions should be directed to Terese, Vickie Morgan, or Sharon Aiken-Wisniewski.

 
Housing and Residential Education – Angie Shewan

  • Housing for Fall Semester is still available; a waitlist has been started, but a standby list also exists.  Students can still be referred to the HRE office at 587-2002.


UGS 4805 Course – Peter Kraus

  • Peter Kraus, outreach coordinator for Marriott Library, presented information about this one-credit-hour course, which is titled “A Primer on Research & Publishing for Undergraduates.”  The course objective is to provide undergraduate students with a background in scholarly research and publishing at the undergraduate level in a range of disciplines.  Upon course completion, they should have the tools to publish in a peer reviewed journal (sample course syllabi distributed).  Contact:  peter.kraus@utah.edu , 581-8891.


Mandatory Advising Program – Victoria Trujillo

  • Planning for this fall’s annual kickoff event (September 8) has begun (information distributed).  This year sees a new format:  the morning session (10am – 12noon) will be a comprehensive review of the Program intended for new advisors (or as a refresher for continuing advisors), followed by a lunch to which all advisors are invited.  The afternoon session (1pm – 3pm) will focus on a developmental advising approach to the Program (all advisors are strongly encouraged to attend).


Advisor Education and Development – Vickie Morgan

  • The most recent Advising Basics Workshop utilized a new, split-session format (held across two weeks), which seems to have worked well.  Scheduled dates for this workshop for the coming year are now being finalized.  A PeopleSoft training was held yesterday, and the next one is scheduled for August.  Please let Vickie (vmorgan@uc.utah.edu ) know of any new advisors in your areas; if they e-mail Vickie she will ensure that they are included on the UAAC listserv.

  • The annual Advisors’ Conference will be held on September 21, at the Officers’ Club on campus.  A Call for Proposals will soon be going out.

  • The Education and Development Subcommittee is in the process of forming an assessment institute, which will enable advisors to share information, across departments, about ways that their department or program uses advising and particular methods of working with their students.  A survey will be forthcoming with the goal of finding out which topics are most important to advisors and departments (and also to facilitate program timing).

  • About 60 people attended the recent LEAP/Honors roundtable.


 

NEW AND CONTINUING BUSINESS


Math Prerequisite Check:  Kelly MacArthur reported that the Department of Mathematics has been checking student registrations for completion of course prerequisites, for over two months now.  The Mathematics website (www.math.utah.edu) includes a link to “request permission code”; students clicking it will be taken to a form, which upon completion is automatically forwarded to the correct person in the Department.  Three departmental staff are currently handling requests, and a reply to the student is guaranteed within three business days.  Over 1,000 codes have already been given out.  Advisors are reminded not to refer students directly to Kelly for these codes.

Permission codes are to be considered as University property, and it is considered as a commission of fraud for a student who receives a code to give or sell it to another student.  The Department is tracking which permission code is given to which student (by student number); four students have already been turned over to the Office of the Dean of Students.  Each code that’s given out is specific to a particular course section.  Courses lower than 1100 are still being handled by Math Placement code.  Incoming freshmen without ACT scores should be referred to the Testing Center.

Janet Goff reminded everyone about the Math Boot Camps (MATH 10 and 15) (information distributed).


Nuclear Medical Technology:  Anna Adams noted this new emphasis within the Department of Health Promotion and Education.  Completion of the emphasis coursework qualifies a student to sit for the national exam to enter the field.  The departmental website (http://www.health.utah.edu/healthpromotion) has more information, or contact Anna at anna.adams@health.utah.edu .

 Major Exploration Program:  Sharon Aiken-Wisniewski noted that while Academic Advising Center has been assisting students with major exploration for a long time, current plans call for a new separate center to be established (information distributed).  The center’s direction (like that of the annual Major Expo) will be toward not only helping students choose a major, but also increasing students’ awareness of the ways in which they can enhance their undergraduate career and participate in exceptional experiences.

Other:   Liz Taylor noted that LEAP 1101, Sections 1 and 2 (Fall Semester 2010) will now be taught as Service Learning sections.  Chalimar Swain noted that the International l Center is ramping up their Ambassador program.  From the program application: 

The International Center Ambassador Program matches globally-minded students who are familiar with the campus and Salt Lake City with incoming international students.  Ambassadors will be trained to answer common questions frequently asked by new international students and to conduct brief campus tours.  Ambassadors benefit from this program by gaining valuable international and leadership experiences.

Student ambassadors maintain weekly contact with these international students, at least through the first semester.  About 20-30 student ambassadors are needed; advisors are encouraged to make this program known to the students they work with.  Website:  https://studentaffairs.utah.edu/inter.
